Use of Personal Information provided in Online Application Form

At times, we use a third party recruitment agency, Gemini, for some of our recruitment activities. We refer you to Gemini’s Privacy Notice on how they handle and store your personal information, and in what circumstances the information may be transferred to our firm to assist with recruitment: www.geminirecruitment.com.

The Duncan Lewis Careers Portal allows you to submit, upload, store and amend your personal information in order to complete an online application form (the “Application Form”).

You can use the Application Form to:

• Apply for specific positions at Duncan Lewis, which are advertised on the Duncan Lewis Careers Portal
• Apply speculatively for positions at Duncan Lewis which are not advertised on the Careers Page Recruitment Portal; and

In order to complete the Application Form you will have to provide personal information. The personal information you will be asked to provide will include your:

• Name
• Postal and email address
• Contact telephone number
• The position at Duncan Lewis for which you are applying; and
• Information about your academic and professional qualifications and experiences

You will have the opportunity to provide diversity related information in order for us to conduct equal opportunities monitoring. The provision of this information is entirely voluntary and if you choose not to provide it your application(s) will not be affected in any way. This information will only be accessed by Duncan Lewis in aggregated format for the purpose of its equal opportunities trend monitoring.

Information provided will be retained for a minimum of six months after it was last provided.

We will email you if there has been no further consideration on your application for six months to obtain your confirmation that you want to remain on our database and that the contact details we hold for you are correct. Where we are unable to verify the contact details are up to date, or upon request, your data will be deleted.

We will use the personal information you submit to the Duncan Lewis Careers Portal to:

• Assess your suitability for a position at Duncan Lewis
• Deal with your enquiries and requests
• Contact you in relation to your application for a position at Duncan Lewis
• Manage and administrate our recruitment processes; and

We may also use and disclose information in aggregate (so that neither you, nor other individuals are identified) for the purposes of monitoring and developing our recruitment activity.

Although we will transfer your personal information from the Duncan Lewis Recruitment Page to our internal HR systems if we hire you, this Privacy Policy does not form part of an employment offer or contract between us. If we do make an employment offer to you, we will provide further information about our handling of your personal information separately.
